How to print a QR code so it scans first time

A QR code that works flawlessly on screen may not scan at all once it is on paper. Four things make the difference: size relative to the scanning distance, the resolution of the file sent to the printer, the real contrast on the material, and the margin around it. Here they are, one at a time, with concrete numbers.

1. Size: the 1-to-10 rule

The camera needs a minimum number of pixels per module. Hence the rule of thumb print shops use: the side of the code should be roughly ten times smaller than the distance it will be scanned from. A menu held in the hand, at 25 cm, needs a 2.5 cm code. A banner read from 3 m needs 30 cm. A sticker on a parking meter, at 40 cm, needs 4 cm.

Never go below 2 × 2 cm, however close the scan: past that point the individual modules reach the limit of what an ordinary press can reproduce, and any small ink spread merges two neighbouring modules.

A detail that is often forgotten: the more content you put in the code, the more modules it has, so each module gets smaller at the same printed size. A short link produces a visibly simpler and more forgiving code than a link with thirty tracking parameters.

2. Resolution: send vector, not an image

The ideal format for print is SVG. Being vector, the code stays mathematically perfect at any size and the printer can scale it without steps appearing on the module edges. Every code generated here can be downloaded as SVG, free.

If you work in software that insists on an image, use the 3000 px PNG and make sure the final size works out to at least 300 DPI — that is, 3000 px can cover at most 25 cm. Never enlarge a small PNG: the missing pixels cannot be invented, and the module edges turn grey, the exact opposite of the contrast the camera needs.

3. Contrast on the material, not on screen

A screen emits light; paper only reflects it. A colour combination that looks contrasty enough in the browser can end up too pale on matte paper or recycled board, all the more so after the RGB to CMYK conversion. Keep the basic rule: a dark code on a light background, never the other way round. Inverted codes (light on dark) are rejected by many phone cameras.

4. The clear margin (quiet zone)

The equivalent of four modules must stay clear around the code. It is the standard specification and it is not negotiable: without it, the camera cannot establish where the code ends and the rest of the poster begins. The downloaded files already include the margin; what is up to you is making sure it is not trimmed off and that no border, logo or caption runs across it.

5. Materials and mistakes that ruin a print run

  • Gloss vs. matte: gloss produces reflections right where the camera looks for contrast. Choose matte whenever you can, especially for menus and outdoor stickers.
  • Curved surfaces: on narrow bottles or glasses the code distorts. If you have no choice, make it bigger and place it on the flattest area.
  • Folds and seams: on textiles or folded flyers, keep the code off the crease.
  • Glossy lamination over an already small code: the combination of reflections and small size is the single most common cause of an unscannable print run.
  • An oversized centre logo: covering the middle eats into the error correction. With a logo, use level H (we set it automatically) and test.

6. The printed proof: the only test that counts

Before the run, print a proof at the final size, on the final material, and scan it with two or three different phones, from the real distance, in the light the code will live in. Five minutes here save a thousand menus.

What is the minimum size for a printed QR code?
The rule of thumb is 1 to 10: the code needs a side roughly ten times smaller than the distance it will be scanned from. Never go below 2 × 2 cm regardless of the maths: ordinary print shops do not faithfully reproduce modules smaller than half a millimetre.
What resolution should I send the QR code to the printer at?
Ideally not as an image at all: send the SVG file. Being vector, it stays perfectly crisp at any size and the printer can scale it without loss. If you work in software that insists on an image, use the 3000 px PNG and size it so the final result is at least 300 DPI (that is, 3000 px for at most 25 cm).
Why does the code not scan after printing, when it worked on screen?
Four common causes: the code was shrunk below the point where the modules stay distinct, the clear margin around it was trimmed off during finishing, the chosen colours have too little contrast on paper (a screen emits light, paper only reflects it), or the surface is glossy and the ceiling light reflects right in the code. Check them in that order.
Can I print the QR code in my brand colours?
Yes, as long as the code stays dark on a light background and the contrast holds. Watch out for the CMYK conversion though: a colour with enough contrast on screen (RGB) can come out visibly lighter in print. Ask for a printed proof before the run and actually scan it, do not just look at it.
Do I need to leave a white margin around the code?
Yes, it is mandatory — it is called the quiet zone and it is four modules wide. Without it, the camera cannot tell where the code begins. The files downloaded here already include the correct margin; your job is simply to make sure it is not trimmed off or covered by another graphic element.
Which material works best for a printed QR code?
Matte paper or film beats any glossy surface: gloss produces reflections that blind the camera exactly where it needs contrast. Also avoid tightly curved surfaces (thin glasses, narrow bottles) and fabrics that fold — the code distorts and decoding fails.
